Embed PDF Files in Word Documents — Quick Tutorial

When to embed vs. insert

  • Embed to keep the PDF bundled inside the Word file (viewable or linked object).
  • Insert (as text/image) when you want editable content or to show PDF pages inline.

Method 1 — Insert PDF as an object (embedded, preserves file)

  1. In Word, place the cursor where you want the PDF.
  2. Insert → ObjectCreate from File.
  3. Click Browse, choose the PDF.
  4. Check Display as icon (optional) or leave unchecked to show first page preview.
  5. (Optional) Check Link to file to avoid embedding (keeps Word file smaller).
  6. Click OK.

Result: PDF is embedded; double-clicking opens it in a PDF reader.

Method 2 — Insert PDF page(s) as images (static, preserves layout)

  1. Open the PDF and use a screenshot or export pages as images (PNG/JPEG) via your PDF viewer.
  2. In Word: Insert → Pictures → select the image(s).
  3. Resize and position; use Wrap Text for layout.

Result: Exact visual appearance, but not selectable text.

Method 3 — Convert PDF pages to Word and paste (editable)

  1. In Word: File → Open → select the PDF (Word converts it to an editable doc).
  2. Copy the desired pages/sections and paste into your target document.
  3. Fix formatting and images as needed.

Result: Editable content; conversion may alter layout.

Method 4 — Insert multiple PDFs as linked files (for reference)

  1. Insert → ObjectCreate from File → Browse PDF.
  2. Check Link to file and Display as icon.
  3. Repeat for each PDF.

Result: Keeps Word size small; requires access to original PDFs.

Tips & troubleshooting

  • Large embedded PDFs increase Word file size—use links if file size matters.
  • For crisp page images, export PDF pages at 300 DPI.
  • If conversion misses formatting, try Adobe Acrobat or dedicated converters.
  • On Mac: menus are the same but may appear under the app menu bar.
  • To remove an embedded PDF: select the object/icon and press Delete.

Quick decision guide

  • Need editable text → convert PDF to Word.
  • Need exact appearance → insert pages as images.
  • Need bundled file → embed as object.
  • Need small Word file → link to file (not embed).
